I would suggest using the Notes column for that.
By default, the sheet always assumes that any crew is FE. It is not really feasible to include stats for non-FE crew at all fuse levels: they are frequently not even available.

As a side question regarding sheet updates ... every time a new version comes out the missions tab needs repopulating ... might it be possible to have an extra "master" checkbox for each segment .. that we can toggle to mark all sub missions as completed in 1 click ??

I tried using the iampicard addon, and it was NOT directly compatible with the "Do Not Airlock" sheet.
Among other things, it over-writes the hidden "Stats" tab. With some manual work and manipulation, I was able to get it to work OK, but it required these changes every time there was a new DNA sheet released. This was not really a minor task, and not something for the average STT player to take on.
The reason that I mention this, is that there is a copy available that allows access to the original script, that you can download for yourself. (Sorry, I don't recall the location offhand). And I don't know if DB has reviewed this to allow or ban this code.

From what I've read/heard the IAmPicard tool (Web version and downloadable client) has been smacked with the Ban Hammer due exploitation of the game code. Whether or not DB is actively blocking or tracking anyone using third party tools that interface with the game is anyone's guess. Using such tools without the express permission and consent of DB is a violation of the terms of service and could potentially get you smacked with Mjolnir.

It looks like the totals need to be adjusted for most of the Collections -
My sheet showed that the Uncommon collection was completed - I have 43 of 50 total uncommon. The other 7 were listed, but greyed out. After checking with the original sheet, It turns out that the Uncommon lists just 40 members of the Uncommon collection. Many of the other collections need to be updated as well.
You don't need every uncommon or rare crew in the game to complete their respective collections though. While more crew have been added to the game, to my knowledge the required number of crew to complete those collections has not increased.
For example, I completed the Rare crew collection long ago, but still have a few I never finished because they did not contribute to any other collection. Going further than the collection requirements is purely an optional collection for the player (unless DB changes this in the future).
Uncommon maxes out at 40. The only reason you would want to immortalize uncommon crew beyond that point would be because you want to collect them all or because you have uncommon who share other collections, those should be given priority before any crew only in the uncommon collection.
Let's also keep in mind all of the achievements and the accompanying benefits associated with immortalizing extra crew, of which common/uncommon/rare are typically the easiest to finish.

I always find Leshy is super efficient at adding new event crew. However not long after I posted this, there was message from DB removing Captive Bashir from the Timelines Originals collections. So I believe it may be the question mark over his status that is why he was missed off. So I shall patiently wait for the next update, as I always do.

As others have already indicated, this is the way the sheet is supposed to work. It considers collections complete when all the rewards have been claimed. This usually happens with less crew than there are available in total for a collection.
The collections tab will continue listing the crew still part of a collection after it has already been 'completed' for those who really want to catch 'em all.
Quick question: The stats marked in yellow on the Stats sheet...are those values you aren't 100% certain of?
My Evolved Janeway at 2/5 has 568 SCI (without bonuses) instead of the 574 listed in the sheet. DIP and SEC values are correct for 2/5.

They are indeed.
When new crew are released, DB only publishes the stats at 1/5 and 5/5, and it may take some time before all stats are found and publicly shared on the STT wiki. In the meantime, I have to guesstimate the intermediate stats, based on those of existing crew. In general, they are either correct or quite close, so they should be good enough for the recommendations in the sheet.
Every so often, I will check those values against the wiki, see if they have been published yet, and update them accordingly or mark them as final.

I am sorry, perhaps I didn't explain my point clearly. The Uncommon collection has a total of 50 members, even though the "Milestone goals" max out at 40 members. I see that this number is hard coded into the hidden STATS tab at locations JN1 thru KN1, and is not a formula there.
When I see something marked as "Complete", this to me means that I have 50/50, not just 40/50 which just gives you the maximum bonus possible for this particular collection. Finishing 40/50 Uncommon to me is just completing a collection Bonus, not completing the collection.
EDIT - sorry, this was posted before reading Leshy's response to my earlier post. Obviously, my understanding of the intent of the collections display was flawed. As I consider this, it's probably a better way to handle it. Otherwise, you would need to update these totals every time you added more crew.
how about adding an 'Event' column that allows people to quickly tick any crew that would provide a bonus in the event of the week/month. Then the reason column would show 'Event Crew' similar to how the 'Keep' column shows 'Marked as keep'.
I have built in something similar to this request: you can now set the featured event crew, traits, variants and/or series on the Settings screen, at which point the Crew sheet marks the event crew as such.
I have added the series that each crew is from, and did a quick pass over the listed variants. There may be some discrepancies or omissions, however, especially as some crew do count in some odd ways for events. Feedback here is welcome!

Thanks for the feedback. Very strange, I had everything working fine on my test copy earlier today, but I noticed the same thing now. I have updated the formulas on the live 3.10 version and it should now be working correctly. (It's the formulas in column BG on the Stats tab, in case you want to update your copy.)

Crew should get the 'Event Crew' notification if they are either Active or Frozen.
My reasoning behind this is that generally, you want to identify the event crew among the crew that you actually have, so that you can use them in an upcoming event. Identifying a number of crew whom you do not have seems less useful in that case.
I am open to other opinions or suggestions, however – it should be a fairly trivial thing to change if there are good arguments to be made for doing it differently.
Edit: Actually, given that it is a small change to implement, I have added a toggle to the Settings that allows you to include/exclude uncollected crew. It will be available in the next version.

No biggie though, having a constantly upgraded crew sheet is nice.

Mine doesn't show it, so I added it to Cell AT647 on the hidden Stats tab

If you highlight all the checkboxes you want to mark, and hit the spacebar, it checks them off. I do the entire column each time.
